  • We entrust personal data processing only to proven and trusted entities rendering services related to personal data processing (such as a hosting company, newsletter tool or accountant; you will find a detailed list below in this document).
  • The website uses analytic tools by Google Analytics, which collect information about your visits to the website, such as subpages displayed, the time spent on the website or switching between individual subpages. For this purpose, we use Google LLC cookies for Google Analytics service. As part of the mechanism for managing settings of cookies, you can decide whether to allow us to use marketing functions within the Google Analytics service, or not.

The administrator of your personal data within the meaning of the personal data protection regulations is Languages & Emotions, Języki i Emocje Project, Sonia Szramek-Karcz running business activity as a natural person at the following address 702-00 Ostrava, Švabinského 1700/4, ID no. 06881106.

Purposes, legal basis and period of personal data processing are indicated separately for each purpose of data processing (see: description of individual purposes of personal data processing below).

Rights. The GDPR confers on you the following potential rights related to the processing of your personal data:

  • the right to access personal data,
  • the right to correct personal data,
  • the right to delete personal data,
  • the right to have personal data processing limited,
  • the right to object to personal data processing,
  • the right to transfer personal data,
  • the right to lodge a complaint with a supervisory authority,
  • the right to withdraw the consent to personal data processing if you have given such consent.

The provisions related to the execution of these rights are described in detail in articles 16‑21 of the GDPR. We invite you to read these regulations. Please note, however, that the aforementioned rights are not absolute and you will not be entitled to all of them in relation to all the activities related to processing of your personal data. For your convenience, we endeavour to indicate, in the description of individual operations of data processing, your rights under the particular operations.

Please note that you always have one of these rights – if you decide that we have violated the regulations on personal data protection when processing your personal data, you can lodge a complaint to the supervisory authority (the President of the Office for Personal Data Protection).

You can also ask us to provide you with the information on your personal data we have and on the purposes of processing them. All you have to do is to send a message to languagesandemotions@gmail.com.

However, we make every effort to ensure that the information you may be interested in is comprehensive in this privacy policy. If you have any questions related to your personal data processing, you may also send them to the aforementioned email address.

Security. We guarantee the confidentiality of all personal data provided to us. We ensure that all personal data security and protection measures required by the regulations on personal data protection are taken. Personal data is collected with due diligence and properly protected from being accessed by unauthorised persons.

List of processors. We entrust personal data processing to the following entities:

  • zenbox.pl – to store personal data on the server,
  • MailChimp – to use mailing system in which your data is processed if you have subscribed to the newsletter,
  • iDoklad (Solitea Česká republika, a.s.) – to invoice,
  • Account Professional a.s. – to use accounting service.

All entities entrusted with personal data processing guarantee the use of appropriate personal data protection and security measures required by law.

Consent to record and publish the image

The customer, by participating in a training, conference or other event organised by Languages & Emotions, agrees to free use of his/her image, recorded in photos and audiovisual recordings from particular events, in any way – including posting it on: the website www.languagesandemotions.eu, the online store website www.sklep.languagesandemotions.eu, social networks or in the Internet, for the purposes of information, promotion, advertising or marketing of Languages & Emotions or products and services sold by Languages & Emotions, for an indefinite period of time. The aforementioned consent may be withdrawn by the customer at any time by sending an appropriate statement to the email address: languagesandemotions@gmail.com.

Data processing purposes and activities

User’s account. When creating a user’s account, you have to enter your email address and define the password to the account. Providing data is voluntary, but necessary to create an account. As part of editing your user’s profile, you may provide additional information about yourself, i.e. your full name, billing address and shipping address. Providing this data is completely voluntary. You may have an account without providing these additional details. In such case, you will have to enter this information when placing an order.

The data you provide in your user’s account is processed solely for the purpose of maintaining the account and enabling you to use it. Providing data in the user’s account should help you to place orders in the online store by submitting automatically your data to the order form.

The legal basis for the processing of your personal data as part of your user’s account is the implementation of the account maintenance agreement that you conclude on the basis of the online store’s Terms and Conditions – art. 6(1)(b) of the GDPR.

The data collected in the user’s account are processed within WordPress and WooCommerce systems and stored on the server provided by zenbox.pl.

Your data will be processed as part of your account as long as you keep the user’s account.After deleting your account, your data will be deleted from the database, except for the data concerning the orders you have placed.

You can access your personal data processed in your account at any time by logging in to your account. After logging in to your account, you can modify your data at any time, as well as delete it, except for the data concerning the orders you have placed. You can also decide to delete your account at any time.

In relation to the data collected in the user’s account, you also have the right (referred to in the art. 20 of the GDPR) to transfer data.

Orders. When placing an order, you need to provide the data necessary to order fulfilment, i.e. full name, billing address, delivery address, email address, telephone number. Providing data is voluntary, but necessary to place an order.

The data provided to us in connection with orders is processed for the purpose of orders fulfilment (Article 6(1)(b) of the GDPR), issuing an invoice (Article 6(1)(c) of the GDPR), including the invoice in our accounting records (Article 6(1)(c) of the GDPR) and for purposes of archiving and statistics (Article 6(1)(f) of the GDPR).

The data entered in the order placed via the online store are processed within WordPress and WooCommerce systems and stored on the server provided by zenbox.pl.

If you have the user’s account, your order will be visible in the order history in your account.

Each order is documented with an invoice. Invoices are issued using iDoklad system. Invoices are forwarded to Account Professional a.s. – our accountant.

Orders are also recorded in our internal database for the purposes of archiving and statistics.

Data concerning orders will be processed for the time necessary to fulfil the order, and then until the expiry of the limitation period for claims arising from the concluded contract. In addition, after the expiry of this period, we may still process the data for statistical purposes. Please also note that we are under the obligation to store the invoices with your personal data for a period of 5 years from the end of the financial year in which tax obligation arose.

In the case of the data concerning orders, you cannot rectify this data after the order has been fulfilled. You also cannot object to data processing nor demand the deletion of data until the expiry of the limitation period for claims arising from the concluded contract. Similarly, you cannot object to data processing nor demand the deletion of data contained in invoices. After the expiry of the limitation period for claims arising from the concluded contract, you may, however, object to us processing your data for statistical purposes, as well as demand the deletion of your data from our database.

In relation to the data about orders, you also have the right (referred to in the art. 20 of the GDPR) to transfer data.

Newsletter. If you wish to subscribe to our newsletter, you have to provide us with your email address via the newsletter subscription form.

The data provided to us when subscribing to the newsletter is used to send you the newsletter, and the legal basis for its processing is your consent (art. 6(1)(a) of the GDPR) expressed when subscribing to the newsletter.

Data is processed within MailChimp mailing system and stored on the server provided by MailChimp.

Data will be processed as long as we keep providing the newsletter, unless you unsubscribe from it earlier, which will cause deletion of your data from the database.

You may rectify your data in the newsletter database at any time, as well as demand its deletion by unsubscribing from the newsletter. You also have the right (referred to in the art. 20 of the GDPR) to transfer data.

Complaints and withdrawal from the contract. If you submit a complaint or withdraw from the contract, you provide us with your personal data contained in the complaint or in the statement of withdrawal from the contract, which include your full name, address, telephone number, email address and bank account number.

Data provided us in connection with the submission of a complaint or with withdrawal from the contract is used to proceed with the complaint procedure or the procedure for withdrawal from the contract (art. 6(1)(c) of the GDPR).

The data will be processed for the time necessary to complete the complaint procedure or withdrawal procedure. Complaints and statements of withdrawal from the contract may also be archived for statistical purposes.

In the case of data contained in complaints and statements of withdrawal from the contract, you cannot rectify this data. You also cannot object to data processing nor demand the deletion of data until the expiry of the limitation period for claims arising from the concluded contract. After the expiry of the limitation period for claims arising from the concluded contract, you may, however, object to us processing your data for statistical purposes, as well as demand the deletion of your data from our database.

Email contact. By contacting us via email, including sending an inquiry via the contact form, you provide us with your email address as the sender’s address. In addition, you may also include other personal data in the message.

In such case, your data is processed in order to contact you, and the basis for data processing is art. 6(1)(a) of the GDPR, i.e. your consent resulting from getting in contact with us. The legal basis for post-contact data processing is the legitimate purpose of correspondence archiving for internal purposes (Article 6(1)(c) of the GDPR).

The content of correspondence may be archived and we are not able to clearly state when it will be deleted. You have the right to demand the insight to the history of your correspondence with us (if it was archived), as well as to demand its deletion, unless its archiving is legitimate due to our overriding interests, e.g. defense against potential claims on your part.
